1. Start here
Krak-EN Quotes puts customer details, price books, quotes, visits, and reminders together on your phone. Use the structured quote form for precise selection and review. The on-device AI assistant can help turn a request into a draft; you remain responsible for checking products, quantities, prices, addresses, and terms before sending.
A quick first-quote workflow:
1) Complete setup and enter your company information.
2) Import or add customers, including their addresses.
3) Import your price book and check list/net price mapping.
4) From Home, tap New Quote in the Open Pipeline card.
5) Choose a customer and address, then add products and quantities.
6) Review discounts, freight, tax, terms, and customer-facing notes.
7) Choose a template, preview, and save the draft.
8) Share the final PDF through your chosen email or sharing app.
2. Supported phones and offline use
This Android build has a strict device gate for specific Samsung models and chipsets. The current configured models are SM-S928U, SM-S931U, SM-S936U, SM-S938U, and SM-S948U. Other regional variants are not automatically supported. S25 full-device acceptance is still a release validation item. Check the store listing's final supported-device list before purchasing. An iPhone version is not included in this release.
Initial AI setup downloads a model of approximately 2.6 GB. Allow extra storage for download staging, models, documents, and your records. Use a reliable connection and keep the phone charged. The app checks the selected model before use. Once installed, AI inference and quote calculations run locally. Store purchases, model downloads, optional address lookup, and external sharing can still require connectivity. If setup reports unsupported hardware, do not sideload another model to bypass it.
3. Company setup and branding
Use the setup wizard or Settings > Company Profile to enter the company name, address, phone, email, default payment/freight terms, and tax preferences. Check that contact details are suitable for customers to see. Select a logo file through the system picker. A clear logo with space around its edges works best.
Settings > Quote Branding controls the company logo size and typography. Settings > Quote Templates lets you browse portrait and landscape styles. Templates can override placement and type styling; logo size still comes from the company branding setting. Always inspect a PDF containing your actual logo and longest company name.
4. Import your customers
Open Customers and choose the import action. Use XLSX or CSV up to 10 MiB (10 × 1024 × 1024 bytes). Legacy .xls files must first be saved as .xlsx in a spreadsheet application. Use a simple rectangular sheet with one header row, one customer per row, and plain text for identifiers and ZIP codes. Keep a copy of the original file.
Review the column mapping before saving. Company / Display Name is required. Map Account Number, Payment Terms, phone, email, website, and internal notes only to the matching columns. Map Address Line 1, City, State, and Zip Code separately. Automatic suggestions are a starting point, not proof that your file is mapped correctly. A city embedded in an unmapped column will not become a searchable customer location.
Review the preview, start the import, and wait for the processed/imported/skipped counts. During saving, the screen stays open to avoid interrupting a partial import. Reading and validation can show an animated bar without a percentage; saving shows measurable progress. If rows are skipped, inspect the source for missing required values or duplicates before trying again. Do not repeatedly import the same file without checking what was saved.
After importing, open a few customer details, including branches with similar names. Confirm the street, city, state, ZIP, contact information, and payment terms. Optional Google address lookup is separate from storing an address and is not required for city search.
5. Find and manage customers
Open Customers or the customer step in New Quote. Search using a name, city, state, ZIP, or a combination. Try “Sarasota,” “United Sarasota,” or partial terms such as “uni sara.” Terms can match the name and saved addresses together. Each term must match; adding more words narrows the result.
If a city returns nothing, search the customer name, open the record, and inspect its address. “No address on file” means the city was not saved. Edit the address or correct the spreadsheet mapping. Changing display preferences alone will not create a missing address. Customer Display Fields in Settings controls which saved fields appear on list cards.
Open a customer to review contacts, addresses, notes, quotes, visits, and reminders. Use the available edit actions to keep information current. Tap supported contact links to hand off to phone, email, browser, or maps apps. Those apps control any network transmission. Recheck the selected billing/shipping address when a customer has multiple branches.
6. Import and manage price books
Go to Settings > Price Books and choose import. Select XLSX or CSV within the same 10 MiB limit. Confirm the book name and map SKU, description, list price, net price, unit of measure, and other supported fields using the preview. Keep SKU identifiers as text so leading zeros are preserved.
List price is catalog price. Net price is a standard customer selling price; it is not your company's cost. The app does not calculate a cost-based gross margin from net price. Check the selected default price source and verify a few imported items against the spreadsheet. Review any validation errors before saving. Price saving reports progress in batches; do not interrupt it.
Use the correct book for each quote. A customer-specific contract book should not be selected for another customer. Customer-default price-book assignment is not implemented in this edition; confirm your choice manually. Archive obsolete books when appropriate instead of confusing current selection with an old price list.
7. Build a quote
From Home, tap New Quote. Choose the customer, confirm the address and contact, and select the intended price book. Search for products, add each line, and check the unit of measure and quantity. Review the unit price and any discount before adding the next item.
The options/review steps let you confirm payment terms, freight, tax, expiration, and notes. Tax settings and rates are your responsibility; the app applies the values you choose and does not determine legal tax obligations. Discounts and guardrails may require an explicit override. Read the warning and record a meaningful reason when an override is appropriate.
Internal notes and customer-facing notes serve different purposes. Only put text intended for the recipient in customer-facing notes. The new template Notes controls affect that customer-facing section. They do not turn internal notes into PDF content.
Check the quote number and quote name before saving. Settings > Quote Numbering controls automatic numbering, prefix, and format. Use a consistent system for your business. Save a draft if you need to check details before sending.
8. Use on-device AI
Open the AI quote composer where offered. Finish model setup if prompted. Write a short, specific request with customer name/location, identifiable SKUs or descriptions, quantities, and any terms you want included. Example: “Draft a quote for Harbor Mechanical in Sarasota: 4 valve kits, SKU VK-200, Net 30.”
Resolve any ambiguous customer or product matches using the provided choices. Review the resulting draft rather than assuming an AI response is a verified quote. If an item is missing or incorrect, correct the structured draft. Deterministic pricing code calculates the totals; AI suggestions are not a replacement for your price book.
Keep requests and conversation history concise. The current model has a limited context window; split a large request into smaller steps if it is rejected. Initialization can take time. Keep the app in the foreground if the device pauses work, and allow the phone to cool after prolonged use. Download or initialization errors do not cause the app to send your prompt to a cloud AI service.
9. Customize quote templates
Open Settings > Quote Templates, or choose a template from the quote workflow. Start with a built-in style and tap Customize. Enter a memorable name, such as “Harbor — centered logo.”
Branding arrangement:
• Compact row keeps branding and the quote label in a compact header.
• Logo above company stacks the logo and company details.
• Full-width combination uses more header width for independently positioned branding.
Choose Left, Center, or Right for the logo and company name/details. A centered logo appears above company details. For example, choose Logo above company, centered logo, and centered company details for a centered letterhead. Choose Full-width combination, left logo, and right company details for an opposing layout.
Choose Left, Center, or Right for customer details. The quote's reference information remains separately visible. Set Notes to Before line items, After line items, or After totals. You can hide the customer-notes section and add signature lines. Select portrait or landscape, then tap Preview PDF.
Inspect long names, long addresses, a real logo, several line items, totals, notes, and page breaks. Tap Save to My Templates to save a new copy; the source template is preserved. Go to My Templates and Apply the saved style. The gallery thumbnail is a schematic; the PDF preview is the layout reference. JSON/DOCX import remains available through the template import action. These layout controls apply to PDF output; the Word-compatible export uses its own simpler layout.
10. Preview, send, and track
Preview the document before sending. Check the customer/address, SKU, quantity, price source, discounts, freight, tax, total, expiration, and terms. Zoom in on small text. A saved draft is not proof that an email was sent.
Choose PDF for a fixed-layout document suitable for printing and customer delivery. The Word option creates a Word-compatible document with a simpler layout; do not expect the PDF template to reproduce exactly there. Choose the recipient in your email/share app, attach the intended file, and confirm the final send. Printing and sharing use external services selected by you.
Use Quotes to reopen existing quotes and manage available statuses. Keep draft, sent, accepted, and other statuses consistent with what actually happened. Home summarizes the pipeline from stored data; a status change is not automatic proof of customer acceptance or payment.
11. Visits, reminders, and follow-ups
Open a customer and record a visit with concise notes, outcomes, and a next action. Add a reminder with a useful due date. The CRM view surfaces due/overdue reminders and recent or scheduled visits. Mark completed follow-ups when finished to keep the list useful.
Allow notifications if you want local reminders. Android notification settings, battery management, and do-not-disturb can affect delivery; do not rely on a phone reminder for a critical deadline. Calendar handoff opens an external calendar flow. Review the event and destination account before saving, especially if that calendar synchronizes to a company or cloud account.
12. Privacy settings and your data
Settings > Privacy Policy contains the policy offline and the Optional Google address lookup switch. It starts off. Read the disclosure before enabling it: saved customer addresses are sent to Google to obtain map coordinates. You can switch it off later. City search uses saved address text and still works while lookup is off.
There is no automatic NSF Labs cloud sync or backup of your records. This build excludes private app data from Android automatic backup and transfer. Keep deliberate exports before uninstalling, clearing storage, or changing phones. A Pro restore recovers the purchase entitlement, not the old customer database.
Go to Settings > Data Inventory to inspect stored table counts and use Export Everything. Choose a safe destination in the share sheet. Exports may contain customer personal details, confidential prices, notes, and audit history. Share them only with authorized people. CSV export is not a full-fidelity one-click backup/restore feature; logos, model files, and device settings may need separate setup.
Delete individual records using their available actions. To remove the app's full local data, use Android Settings > Apps > Krak-EN Quotes > Storage > Clear data, or uninstall. Export first if you need anything. Delete spreadsheets, shared documents, calendar copies, and sent email separately.
13. Trial and Pro
The Android full trial lasts 60 days from the first app initialization on that installation. It does not enroll you in a subscription or automatically charge you. Pro is a one-time non-consumable unlock with a US launch target of $9.95; the store shows the actual localized price before confirmation.
After trial expiry, quote creation and editing require Pro. Existing records remain available to view and export; the guide remains accessible. Open Settings and tap the license/Unlock card to see the Pro screen. Buy through Google Play, confirm the price and store account, and wait for verification. Pending payments do not unlock Pro until completed.
Pro has no renewal fee and the license does not expire. Regular app updates are included without a subscription. Updates and reinstalls require continued availability and a compatible device/OS; a perpetual license is not a guarantee that every future phone or operating system can run the app.
On a new installation, use Restore purchases with the same Google Play account. An internet connection is needed for checkout and restoration. A canceled payment should not unlock Pro. If the store price is unavailable, retry later or contact NSF Labs; do not pay outside the app in response to an error. Refunds follow the store's process and may revoke the entitlement. Purchases are not promised to transfer between Android and a future Apple app.
14. Troubleshooting
City search is empty: inspect the saved address and import mapping first; geocoding is not required.
File will not import: verify XLSX/CSV format, size, headers, selected sheet, and required mappings. Convert .xls to .xlsx. Remove unusual workbook formatting if needed and test a small copy.
Import appears busy: reading/validation may not have a meaningful percentage. Wait for the completion summary; avoid starting a duplicate import.
Price looks wrong: check book, list/net source, quantity, discount, freight, and tax. Net is a selling price, not cost.
Logo missing: choose a readable image file again and preview. Center positioning stacks the logo above the company name.
PDF layout differs from Word: use PDF for the customized template layout.
AI unavailable: check hardware support, selected model download, storage, and foreground state. Keep prompts short and retry after cooling if the phone is hot.
Reminder absent: check Android notification permission and battery/do-not-disturb settings.
Purchase not restored: use the purchasing Google Play account and a connection; tap Restore purchases. Contact support if verification still fails.
Lost records after uninstall: a purchase restore does not restore local data. Check your own exports and original import files.

NSF Labs cannot recover records that were never exported from your device.
